Volunteer Job: Black Cat Ball
Location Locations may vary. Typically the Black Cat Ball is held in a Seattle area hotel the last Saturday of October.
Purpose To assist staff in preparations, set-up, staffing and breakdown of our two largest annual fundraising event.
Black Cat Ball Preparation Duties The following duties are all in preparation for the Black Cat Ball. Volunteers who are interested in day-of participation will be notified of volunteer needs.
-Procure auction items ( either in person or via letters)
-Solicit sponsors
-Assistance with auction newsletter mailing
-Letter writing to last year's donors that procurement deadline approaches
-Distribution of posters and flyers
-Prepare bid packets; ensure we have all gift certificate, place them in envelopes labeled with assigned auction number
-Shop for additional volunteer food, drinks and snacks for auction day
-Solicit wine and champagne donations: purchase additional if necessary
-Ensure wine and champagne are delivered to the hotel the day before
-Write and mail hand-written thank you notes to every donor
-Pick up auction donations
-Put together attractive baskets with miscellaneous donations
-Pack auction items so they are ready fro transport
-Shop for, select and purchase mats and frames when needed for donated prints; frame prints
Supervisor Volunteer Coordinator for the Black Cat Ball/ designated volunteer or staff person
Training Orientation / On-the-job training as needed
